Who we are

The Orthotic Works Ltd (company number 16374698) makes custom orthotics from our clinic at York Eco Business Centre, Office 7, Amy Johnson Way, Clifton Moor, York YO30 4AG. We are the controller of the personal information described here. You can reach us on 01904 620120 or at [email protected].

What we collect and why

• Enquiries. If you phone or email us we keep your name, contact details and what you asked, so we can reply and arrange a consultation.
• Consultations and orders. If you become a customer we record what we need to make and fit your orthotics: your contact and delivery details, your foot scan and measurements, and any health information you give us that is relevant to your orthotics. We use this to provide your service, for aftercare and remakes, and to meet our legal and accounting duties.
• Payments. Card payments are taken by Stripe. We do not store your full card number.
• Reminders and offers. We may email existing customers about replacement orthotics or clinic news. Every message tells you how to stop them.

Cookies and website measurement

When you first visit, a banner asks whether you accept cookies.

• If you click Accept, we allow Google Analytics to count visits and which pages are used, and we allow Google Ads and Microsoft Advertising to measure whether our adverts led to a call or an email enquiry. We record, for example, that a phone or email link was clicked. We do not use this to show you personalised adverts, and we never sell your data.
• If you click Decline, we do not set these cookies. Google and Microsoft may still receive limited, anonymous signals that a page was viewed, without cookies and without identifying you.

Your choice is saved in your browser. To change it, clear this site's data in your browser settings and the banner will appear again.

Who we share information with

Only the services that help us run the business: our order and customer records system (Zoho), Stripe for payments, our email and website hosting providers (including Cloudflare), and Google and Microsoft for the website measurement above. We do not sell your information, and we only share what each service needs. Some of these providers process data outside the UK under recognised safeguards.

How long we keep it

Customer records are kept for as long as we need them for your orthotics, aftercare and remakes, and to meet legal and accounting requirements. Enquiries that do not lead to an order are not kept longer than necessary.

Your rights

Under UK data protection law you can ask to see the information we hold about you, have it corrected or deleted, object to or restrict how we use it, or ask for a copy to move elsewhere. Contact us using the details above. If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk.

Changes

We will update this page if we change how we use your information, and change the date at the top.
